Operations Administrator
About The Circle School
The Circle School is a parent-run cooperative dedicated to providing a student-centered, academically enriching, and supportive learning environment through strong collaboration among families, staff, and its Board of Directors. We are seeking an experienced, organized, and collaborative Operations Administrator (OA) to lead day-to-day operations, oversee administrative systems, ensure compliance, and serve as a key liaison within the community - playing a vital leadership role in strengthening systems and advancing the school's mission.
Role Overview
The OA manages all operations - including enrollment, facilities, communications, compliance, and volunteer support - to ensure the school remains safe, inclusive, and mission-aligned.
The Ideal Candidate is a proactive, detail-oriented professional who can build structure while navigating the unique dynamics of a parent-run cooperative -- able to balance organizational judgement with diplomacy to uphold community values.
Core Functions (Duties)

Systems Leadership: Collaborates with the Board and the Education and Finance Administrators to refine workflows, ensure operational continuity, and lead the school's transition toward a collaborative leadership model.

Community Liaison: Acts as a central point of contact for staff, families, and the Board, fostering transparency and coordination across the school.

Strategic Growth: Designs and strengthens sustainable systems that support shared accountability and long-term stability.
Key Responsibilities
Administrative Systems, Enrollment & Staffing Operations

Maintain and continuously improve administrative systems, including enrollment platforms, SOPs, handbooks, directories, policies, and procedural documentation.

Coordinate recruitment and enrollment processes for all school programs, serving as a central point of contact for prospective families.

Oversee staffing logistics, including onboarding, scheduling, substitute coordination, and personal workflow systems for academic, after-school, enrichment, and summer programs.

Manage technology and administrative platforms to ensure accuracy, efficiency, and regulatory compliance.

Provide operational insight and recommendations to the administrative leadership team and Board to support staffing, hiring, and resource planning decisions.
Operational Oversight

Ensure compliance with licensing, safety, health, and regulatory requirements.

Maintain and improve emergency preparedness, safety plans, and operational protocols.

Oversee facilities operation, maintenance planning, repairs, inventory management and vendor coordination.

Manage communications regarding operational updates, closures, or emergencies.

Anticipate operational risks and proactively implement solutions to minimize disruption.
Community & Staff Collaboration
-
Serve as primary operational contact for staff, families, volunteers, and community partners.

Co-lead administrative team meetings, operational planning sessions, and cross-functional coordination.

Facilitate consistent and effective communication channels, including newsletters, digital platforms, parents messaging, and internal updates.
Board Interface, Staffing & Governance Support

Prepare and deliver regular operational reports and performance updates to the Board and relevant committees.

Lead and manage hiring processes in collaboration with the administrative leadership team, consistent with board policy and governance structures.

Provide staffing evaluations, operational insight, and strategic recommendations to support effective staffing and support informed board decision-making.

Partner with Executive Board members on operations-related initiatives, facilities planning, and strategic projects.

Escalate urgent issues requiring board's input, awareness, or approval, including regulatory or compliance matters, financial decisions above admin authority, and major facilities or safety concerns.

Actively participate in board committees and working groups including preparation, attendance, reporting and execution of action items while respecting clear governance and operational boundaries.
Work Schedule, Calendar & Conditions of Employment

This is a full-time, exempt administrative leadership position requiring flexibility to meet operational needs, including occasional extended hours during peak periods or special events.

Academic Year (10-Month Commitment)
-
Standard School Day on-campus schedule: Monday-Friday, 7:30 a.m. - 4:30 p.m.

Includes early arrival covering during the school year and may require evening or weekend work on occasion to support school events meetings, or operational needs.

Regular on-campus presence is essential to fulfill the responsibilities of this role.

3 weeks on-campus, full-time schedule

6 weeks at approximately 20 hours per week (hybrid)

Qualifications
-
Minimum of 3-5 years of experience in school operations, non-profit administration, or related leadership roles.

Strong organizational, project management, and problem-solving skills.
-
Excellent interpersonal and communication skills.
-
Experience managing facilities, compliance requirements, and administrative systems.

Proficiency with administrative software, databases, scheduling platforms, and communications tools.
-
Ability to thrive in a fast-paced, mission-driven environment with competing priorities and evolving needs.
Preferred
-
Experience in a cooperative or parent-run or independent school setting.

Familiarity with educational operations, accreditation, licensing processes, and student support systems.

Experience working collaboratively across staff, parent, and board communities.

Experience with Google Workspace (G Suite) platforms for operations, documentation, and communication.

Experience working within a governance model that includes active board involvement.
